Setting other functions in Siesta Extranet.

In General

In this section you will find settings for many Extranet extensions. They are individually described below.

Exchange rates service settings

Here you can set the default service according to which currency conversion rate your accounts will be retrieved. If you have set up automatic course loading, you can set here whether you want to download courses from the Czech National Bank or from Open Exchange Rates.

Default Purpose of Stay

In this section, according to your experience, you can set the default purpose of your stay, depending on which guests come to you most often. Tourism is preset automatically, however, it is here that you can change the settings according to your preferences.

Bill Names Currency

Set the bill name for each currency separately. You can set the bill name for the currency by clicking on the currency and then on the pencil in the upper left corner of the table. After typing the bill name, it is necessary to press the diskette in the upper left corner of the table and then in the upper right corner of the window.

Default Bill Currency

Set the currency that appears as the default when you create your bill.

City Tax (Local Authority Fee in Czech Republic) settings 2019

Please note, that this feature may not function in specific regions. For further information, please contact your technical advisor.

For correct calculation of city fees it is necessary to fill in this section. On the left side information about the landlord and on the right individual charges for specific types of guests.

Ideal Availability Settings

With this setting, you can influence the ideal availability table and determine the plan you want to sell. This plan then shows you the ideal availability table whether you are selling too fast or slow. You can set it up to 20 weeks before your arrival, and you can set the percentage of how much capacity you want to be sold in which week. Eg. at what speed you want to sell the capacity. The default is to start selling 2.5 months before guests arrival and plan to sell 10% of the capacity per week. Please consult your technical advisor or account manager for any changes in settings.

Cleaning plans

Although it may not seem at first glance, setting up the cleaning plans is very simple. To add a cleaning plan, first click on the + button, then a new window will appear.

Here, fill in the name of the cleaner, in the field number of days fill in how often such cleaning is performed. In the minimum number of nights box, fill in for how many nights the guest must stay in order to apply for this cleaning, or in the next box the maximum number of nights. Priority then determines which cleaning has priority, if more than one cleaning is set. After that, we only have to save the new plan, using the floppy disk icon.

Email service

Configuring how emails are sent from the Siesta Extranet. Please do not make any changes without consulting the Technical Adviser. Siesta Extranet offers two ways to send emails. The first option is "Generic", this email service can be configured to send email templates via our email (for your guests it will look as if they received an email directly from you).

However, a more frequent choice is the "Module" type for setting this option, contact the Siesta Solution technical specialists.

Robot settings

The restriction robot can automatically adjust your restrictions. If you wish to set up the robot, please contact your technical advisor or account manager.

Arrange booking rooms settings

Smart room arrangement is used to use the Extranet's automatic setup process to prevent the creation of hotel overbooks. For more information on the hotel overbook and settings, contact your technical advisor.

Automatic modifications

In this section you can set up several functions, but they all share the same denominator and the source of reservations, which will affect the automatic modification. Automatic modifications will be reflected on reservations exclusively from your sales channels (Booking.com, Airbnb, etc.). You can set here to allow automatic modifications, automatic acceptance of changes (as you know changes from Booking.com, if you check "yes" these new changes will be automatically copied and saved to your Siesta Extranet). Automatic changes of room reservations or automatic changes of bill items.

GDPR agreement text

It serves as a protection element under the General Data Protection Regulation. Any text you type will be displayed if you want to print guest information. To do this, use the "Print reservation" icon on the bottom bar of the reservation detail.

Then enter the text itself in a new window and be sure to change Print GDPR consent to YES. Then just save it.

Invoice preset

Here you can preset basic invoice attributes, such as currency, language, payment type, and round amount.

Online check-in form setting

The online check-in form can efficiently save your time and you no longer have to copy your guest data. The form is automatically sent after the room has been booked, the guest information is automatically written when the guest fills it in.

Room billing

Here you can set whether the rooms will be charged to an individual bill or shared.

Last minute settings

Last minute settings will show you last minute bookings graphically. It will appear in several ways, in the main calendar, the reservation will be bordered by a turquoise color, and at the booking will be a turquoise label with the inscription Last minute.

To use this service, enter a time interval in hours, such as 24 hours. All bookings that will fall within the selected period will be marked with a turquoise color.
